Cold Email Outreach Plan
Plan your cold email campaign step by step: set volume targets, estimate replies, project calls, and forecast revenue.
1. Define your goal
Start with a clear goal. How many clients do you want per month? How many booked calls? Your goal determines the volume and pipeline you need to build.
2. Estimate your conversion funnel
Work backward from your goal using realistic conversion rates. Your funnel looks like this:
- Emails sent → Replies (reply rate)
- Replies → Positive replies (positive reply rate)
- Positive replies → Booked calls (booked call rate)
- Booked calls → Clients (close rate)
3. Calculate required volume
If you need 5 clients and your close rate is 20%, you need 25 booked calls. If your booked call rate is 50%, you need 50 positive replies. Continue working backward to find the total emails needed. The Cold Mail Calculator does this automatically.
4. Plan your infrastructure
Determine how many mailboxes you need to hit your daily volume safely. Consider:
- Emails per mailbox per day (start conservative)
- Domain warmup period
- List sourcing and verification
- Messaging and personalization strategy
- Follow-up sequence design
5. Track and iterate
Launch with conservative assumptions, track your actual metrics, and adjust. Your first campaign gives you real data to refine your planning for future campaigns.
