Refund Policy

How refunds are handled for ColdMailCalculator digital software and API credit packs.

1. Overview

ColdMailCalculator provides forecasting and planning tools for cold email outreach through web-based calculators and API access. Because our product is delivered digitally and access is granted immediately upon successful payment, our refund policy reflects the nature of digital software and prepaid credit packs.

Please read this policy carefully before purchasing a credit pack. By purchasing credits, you acknowledge and agree to these terms.

2. Credit Pack Purchases

Credit packs are prepaid one-time purchases priced in USD. The full credit pack amount is charged at the time of purchase. Credit packs do not expire and do not auto-renew. There are no recurring fees.

Because credits are delivered digitally and immediately upon purchase, standard credit pack purchases are generally non-refundable. See the sections below for limited exceptions.

3. Refund Eligibility

Refunds may be considered in the following limited circumstances:

  • Duplicate charges — If you were charged more than once for the same billing period due to a system error.
  • Billing errors — If you were charged an incorrect amount due to a pricing or billing system error.
  • Accidental purchases — If you accidentally purchased the wrong credit pack and contact us within 7 days of the charge, before using any API access.

To be eligible for a refund review, you must submit your request within 7 days of the charge in question.

4. Non-Refundable Situations

The following situations are generally not eligible for refunds:

  • Change of mind after the credit pack has been purchased and API access has been granted
  • Lack of usage — if you did not use your prepaid credits
  • Results not meeting expectations — ColdMailCalculator is a forecasting tool and does not guarantee specific replies, clients, revenue, or business outcomes
  • Partial use of a credit pack (refunds are for the full unused pack only, reviewed case by case)
  • Dissatisfaction with forecast outputs after credits have been consumed

5. Billing Errors

If you believe there has been a billing error, contact us as soon as possible at support@coldmailcalculator.com. Include your account email address, the date of the charge, and a description of the issue. We will investigate and respond within 5 business days.

6. How to Request a Refund

To request a refund review, email support@coldmailcalculator.com with the subject line "Refund Request" and include:

  • Your account email address
  • The date and amount of the charge
  • A brief description of why you are requesting a refund

We will review your request and respond within 5 business days. Approved refunds are not guaranteed — each request is reviewed on a case-by-case basis at our discretion.

7. Processing Time

Approved refunds are returned to the original payment method used at the time of purchase. Stripe typically processes refunds within 5–10 business days depending on your bank or card issuer. Processing times may vary.
