Cold Email Cost per Meeting Formula
How to calculate a true, fully-loaded cost per booked meeting from a cold email campaign — and why leaving out labor or tools quietly breaks the number.

The formula
Cost per meeting = Total Campaign Cost ÷ Estimated Booked Meetings. Total cost should include domain cost, mailbox cost, lead list/data cost, tool or software cost, labor (yours or a hired SDR's), and any agency fees — every category that had to be paid for the campaign to run.
Example: if total cost is $1,200 and the campaign is expected to produce 12 booked meetings, cost per meeting is $100. That number only means something once you compare it against what a meeting is actually worth to your business.
Booked vs. attended meetings
Decide up front whether you're calculating cost per booked meeting or cost per attended meeting — they are not the same number. If your show-up rate is 75%, cost per attended meeting is roughly 33% higher than cost per booked meeting, because a quarter of booked slots don't convert into an actual conversation.
Using cost per meeting to judge a campaign
Compare cost per meeting against your average deal value and close rate. If your close rate is 20% and average deal value is $3,000, each meeting is worth roughly $600 in expected value ($3,000 × 20%). A $100 cost per meeting against a $600 expected value per meeting is a healthy ratio; a $550 cost per meeting against the same $600 value leaves almost no margin for error.

- Decide whether you're measuring booked or attended meetings, and label it clearly.
